Best Landscaping Estimating Software
Your spreadsheet tracks materials and hourly labor. It doesn't track the other $1,835 per job that quietly eats your margin. Here's what actually works.

Hidden Costs Revealed
The 4 line items most contractors forget
Quick Answer
For most landscaping contractors (1-15 crew members): GreenMargins at $59/month is the strongest estimating tool because it calculates labor burden, travel, equipment, overhead, and profit margin on every job — costs that spreadsheets and generic all-in-one tools miss entirely.
For large operations (15+ crew, multiple offices): LMN at $297/month adds crew scheduling, time tracking via the Crew App, and enterprise-grade overhead recovery.
For solo operators focused on scheduling: Jobber at $49/month handles quoting, scheduling, and invoicing — but it does not calculate your actual job costs. You still need to estimate manually.
Estimating, Quoting, and Job Costing Are Not the Same Thing
Every tool on this page calls itself "estimating software." Here is what the words actually mean — and which step each tool handles.

⚠️ The real problem: Most "estimating" software just helps you type a price into a pretty template. Real estimating software calculates what the job costs you — materials, labor burden, travel, equipment, and overhead — so you know your break-even before you set a markup.
The 6-Step Estimating Workflow Most Contractors Skip Half Of
A complete landscape estimate works through six cost layers. Most spreadsheets stop at step 2. Here is the full sequence.
Measure the Scope
Walk the site or review plans. Measure square footage for turf, beds, and hardscape. Count plants, fixtures, and linear feet of edging or retaining wall. For plan-based work, takeoff software speeds this up. For site-visit work, you measure on foot.
Calculate Material Costs
Price every material at current supplier rates. Include delivery fees and waste allowance (typically 5-10% for hardscape, 10-15% for mulch and soil). Track seasonal pricing — mulch in spring costs 15-20% more than fall.
✓ Most contractors get this step right. The problems start below.
Calculate Labor Hours and Burden
Estimate crew hours realistically (add 15-20% buffer for setup, cleanup, and breaks). Then add labor burden: workers comp (8-15% for landscaping), CPP/EI or payroll taxes (7-8%), vacation pay (4-6%), and benefits. This adds 25-35% on top of base wages.
⚠️ A crew member paid $24/hr actually costs you $30-32/hr. Most estimates use $24.
Add Travel and Equipment Costs
Every site visit costs money: fuel, truck depreciation, and unbillable crew wages during transit. A 45-minute drive with a 3-person crew burns $85-95 before anyone picks up a shovel. Add equipment rental or depreciation for job-specific machinery.
⚠️ A job with 3 site visits and 35 km each way adds $255-285 in travel alone.
Apply Overhead Allocation
Your monthly fixed costs — rent, insurance, truck payments, office staff, software, phone bills — don't disappear when you're on site. Divide total monthly overhead by jobs completed per month. If overhead is $8,500/month and you do 14 jobs, each job carries $607 in overhead.
⚠️ This is the cost most contractors have never once included in an estimate.
Set Your Profit Margin
Apply your target margin to the true total cost — not just materials and hourly labor. A 35% margin on $6,763 true cost means quoting $10,405. A 35% margin on $4,928 (spreadsheet cost) means quoting $7,581 — and actually making 20%, not 35%.
Key insight: The average landscaping contractor underestimates job costs by 25-35%. Not because material prices are wrong — but because labor burden, travel time, equipment wear, and overhead allocation never make it into the spreadsheet. These costs exist on every single job.

Detailed Reviews
GreenMargins
Purpose-built estimating and job costing tool for landscaping contractors. Calculates every cost line — labor burden, travel, equipment, overhead, and profit margin — so you know your true break-even before sending a quote. Also handles quoting, customer management, and profitability tracking.
Strengths
- ✓ Full cost calculation: burden, travel, equipment, overhead
- ✓ Profit margin shown on every quote before sending
- ✓ Prebuilt landscaping services (mowing, hardscape, planting, etc.)
- ✓ Under 1 hour setup — no vendor-assisted onboarding
- ✓ $59/month flat — no per-user or per-crew pricing
Limitations
- ✗ No takeoff from blueprint plans (site-visit focused)
- ✗ No crew scheduling or time tracking (yet)
- ✗ Newer platform — smaller user community than LMN or Jobber
Best fit: Landscaping contractors with 1-15 crew members who want to stop guessing on margins. Particularly strong for install work (hardscaping, planting, renovations) where hidden costs add up fast.
LMN (Granum)
Enterprise-grade estimating platform built specifically for landscape companies. Includes overhead recovery, estimate templates, digital proposals, the LMN Crew App for time tracking, and job costing against actuals. Now part of the Granum / ServiceTitan ecosystem.
Strengths
- ✓ True overhead recovery built into every estimate
- ✓ LMN Crew App: GPS time tracking in the field
- ✓ Estimate templates for recurring service types
- ✓ Job costing with actual vs estimated comparison
- ✓ Large community, landscape-specific training resources
Limitations
- ✗ $297/month minimum (Starter: 1 office + 5 crew)
- ✗ Professional tier ($648/mo) needed for most features
- ✗ Complex setup — longer onboarding period
- ✗ No free trial — demo/sales process required
Best fit: Established landscaping companies with 5+ office staff and 15+ field crew who need estimating, scheduling, and time tracking in one ecosystem. The price is justified at scale but hard to absorb for smaller operations.
Jobber
The most popular all-in-one platform for home service businesses, used by 350,000+ pros across 50+ industries. Handles quoting, scheduling, invoicing, payments, and client communication. Strong at workflow management — weak at actual estimating.
Strengths
- ✓ Excellent scheduling and dispatch workflow
- ✓ Professional quote and invoice templates
- ✓ Online payments and automated follow-ups
- ✓ Large app marketplace and integrations
- ✓ Affordable entry at $49/month
Limitations
- ✗ No labor burden calculation
- ✗ No overhead recovery or allocation
- ✗ No travel cost tracking
- ✗ No real job costing — you enter prices, not costs
- ✗ Core plan limited to 1 user
Best fit: Solo operators or very small crews (<3 people) who need scheduling, invoicing, and client management more than they need detailed estimating. Pairs well with a separate estimating tool for larger jobs.
DynaScape Manage360
Integrated design-to-estimate platform for landscape firms. Includes CAD-based landscape design, material "Kits" that bundle labor and materials by task, sales projections, and cost estimation linked to design elements. Strongest when design drives the estimate.
Strengths
- ✓ Design-to-estimate link: quantities from drawings
- ✓ Material "Kits" bundle labor + materials per task
- ✓ Sales projections and pipeline tracking
- ✓ Purpose-built for landscape (not construction-general)
Limitations
- ✗ Pricing not published — demo/sales process required
- ✗ Steep learning curve for the design side
- ✗ Overkill if you don't produce landscape designs
- ✗ Desktop-heavy — limited mobile/cloud features
Best fit: Design-build landscape firms that produce CAD drawings as part of their sales process. If your workflow goes design → estimate → build, DynaScape connects those steps. If you estimate from site visits, look elsewhere.
Aspire
Enterprise-grade landscape business management platform, now part of the ServiceTitan ecosystem alongside LMN. Covers estimating, CRM, scheduling, purchasing, job costing, and financial reporting. Built for commercial landscape companies running hundreds of jobs per month.
Strengths
- ✓ Full business management: CRM, scheduling, purchasing, AP/AR
- ✓ Detailed job costing with purchase order tracking
- ✓ Multi-branch and multi-division support
- ✓ Comprehensive financial reporting
Limitations
- ✗ Estimated $500+/month — pricing not published
- ✗ Vendor-assisted onboarding required (weeks, not hours)
- ✗ Massive feature set is overwhelming for small teams
- ✗ Designed for 50+ employee operations
Best fit: Commercial landscape companies with 50+ employees, multiple branches, and dedicated office staff. If you have a CFO or controller on staff, Aspire gives them the reporting depth they need. If you're the owner running a crew of 8, this is too much.
Spreadsheets (Excel / Google Sheets)
The default starting point for most landscaping contractors. Free, flexible, and familiar. The problem is not the tool — it's that spreadsheet estimates almost always stop at materials + hourly labor, missing 25-35% of the true job cost.
Strengths
- ✓ Free to use (Google Sheets) or already owned (Excel)
- ✓ Total flexibility — build any format you want
- ✓ No learning curve for basic use
- ✓ Can technically include all cost lines if built properly
Limitations
- ✗ No built-in labor burden, overhead, or travel calculations
- ✗ Every estimate built from scratch (no templates or presets)
- ✗ No customer-facing quote generation
- ✗ No historical job tracking or profitability reports
- ✗ Formula errors silently compound over time
Best fit: Brand-new contractors doing fewer than 3 jobs per month who cannot yet justify $59/month in software. Graduate to dedicated estimating software as soon as volume increases — the margin leakage from missed costs will quickly exceed the subscription cost.

Generic All-in-One Tool
A tool like Jobber creates a beautiful, professional-looking quote. But it doesn't calculate your costs — you enter the prices.
What it does: Formats materials + labor into a clean quote template. Adds online signature, automated follow-up, and scheduling.
What it doesn't do: Calculate labor burden, travel cost, equipment depreciation, or overhead allocation. You're still guessing at the same $4,928 cost basis as the spreadsheet.
The quote looks better. The margin illusion is identical.
GreenMargins Full Job Cost
Visible costs (same as spreadsheet)
Hidden costs (what the spreadsheet misses)
What the spreadsheet thinks
59% margin
$7,072 "profit"
What you actually keep
44% margin
$5,237 actual profit
$1,835 in real costs vanished from the spreadsheet estimate. That's not a one-time mistake — it happens on every job. Over 14 jobs per month, that's $25,690 per month in costs you thought were profit.
With GreenMargins, you set the quote knowing the true cost:
35% margin → Quote $10,405
Guaranteed profit: $3,642
45% margin → Quote $12,296
Guaranteed profit: $5,533
Which Estimating Tool Fits Your Business?
The right tool depends on your crew size, job types, and what problem you're actually trying to solve.
Solo Maintenance Operator
Mowing, cleanups, small enhancements. Pricing is simple and you know your costs intuitively.
Start with: Jobber ($49/mo) for scheduling + quoting
Upgrade when: You take on install or hardscape work where hidden costs start adding up
Small-Mid Install Crew (2-15 people)
Mix of maintenance and install work. Jobs range $2K-$50K. Hidden costs are large enough to matter on every estimate.
Best fit: GreenMargins ($59/mo) for full job costing on every job
Consider adding: Jobber for scheduling if needed (they work independently)
Large Commercial Operation (50+ employees)
Multiple branches, dedicated office staff, commercial contracts. Need enterprise reporting and multi-division tracking.
Best fit: Aspire or LMN ($297-500+/mo) for enterprise management
Only if: You have the admin staff to manage a complex system
The 4 Costs Your Spreadsheet Doesn't Have a Column For
These costs hit every landscaping job. They're real, measurable, and invisible in a basic materials-plus-labor estimate.
Labor Burden
Workers comp, CPP/EI, vacation pay, and benefits add 25-35% on top of wages. A $24/hr crew member costs you $30-32/hr. Most estimates use $24.
Travel Time
Crew drive time is unpaid but costs $85-95 per site visit for a 3-person crew. Three visits to a 35 km job site adds $255-285 that never appears on a spreadsheet.
Equipment Wear
Rental costs are obvious. Depreciation on owned equipment is not. Trailers, mowers, skid steers, and trucks wear down whether you track the cost per job or pretend it's free.
Overhead Allocation
Rent, insurance, truck payments, office staff, software, phone bills — $500-800 per job for a typical 10-person operation. If none of your jobs carry this cost, your business does.
